Privacy Policy

Rybo Plumbing & Roofing Pty Ltd | Effective 16 October 2026 | Version 1.5

1. Purpose

Rybo Plumbing & Roofing Pty Ltd, trading as RYBO Roofing (RYBO, we, us, our), respects the privacy of its clients, employees, subcontractors, suppliers and other individuals. This policy describes how we collect, hold, use and disclose personal information and how individuals may access or correct it. We comply with the Privacy Act 1988 (Cth) and Australian Privacy Principles where they apply to our operations.

2. Personal information we collect

Depending on our relationship with you, information may include names, contact details, addresses, project and property details, correspondence, quotations, contracts, invoicing and payment records; employee or subcontractor identification, qualifications, licences, inductions, insurance, payroll, banking, superannuation and emergency contact details; relevant safety information; and photographs, videos or records of building works. We only collect sensitive information where necessary and lawful.

3. How we collect information

We generally collect information directly through telephone calls, emails, website enquiries, site visits, quotes, contracts, recruitment, onboarding and project delivery. We may also receive details from builders, project managers, suppliers, referees or other authorised sources where appropriate.

4. Why we collect, use and disclose personal information

RYBO collects, uses and discloses personal information where reasonably necessary to operate our business and provide roofing, plumbing and cladding services. This includes identifying and communicating with clients and site contacts; responding to enquiries; assessing properties and preparing quotations and tenders; entering into and administering contracts; planning and delivering projects; ordering materials and coordinating trades; managing site access, inductions and workplace health and safety; documenting completed works and issuing compliance certificates and warranties; processing payments and maintaining accounting records; assessing job applicants and managing employment and subcontractor relationships; responding to complaints, disputes and insurance matters; and meeting taxation, regulatory, safety and other legal obligations. We may also use contact details for business updates or direct marketing where permitted by law, with an option to opt out where required. We generally use information for the purpose for which it was collected, a related purpose reasonably expected by the individual, or another purpose permitted or required by law.

5. Disclosure to others

Where required for these purposes, we may share relevant information with our directors and personnel; subcontractors and suppliers; builders and project stakeholders; accountants, insurers, legal advisers and auditors; software, IT and payment service providers; and regulators or authorities where authorised or required by law. We do not sell personal information.

6. Security and retention of personal information

RYBO takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Depending on the information and system, safeguards may include password-protected accounts, multi-factor authentication where available, role-based access, secure cloud services, staff confidentiality obligations, restricted physical files, software updates and appropriate backup procedures. Access is limited to people who need the information for their work. We review suspected security incidents and respond to eligible data breaches as required by law. No security measure can guarantee absolute protection.

6A. How long we retain information

We keep personal information only for as long as reasonably needed for the purpose it was collected, or to meet applicable legal, taxation, employment, work health and safety, building compliance, warranty, insurance, recordkeeping or dispute-resolution requirements. Retention periods vary by record type and legal obligation; RYBO does not apply one universal deletion period. We periodically review records and, when information is no longer required and we are not legally required to retain it, take reasonable steps to securely delete, destroy or de-identify it. Copies in backups may remain temporarily until normal backup cycles expire, subject to appropriate safeguards.

7. Overseas service providers

Some third-party cloud platforms may store, access or process data outside Australia. Where overseas disclosure occurs, we take reasonable steps to meet applicable privacy obligations. Specific overseas locations depend on the service providers in use and may change.

8. Website, project photos and marketing

Our website may collect details submitted through enquiry forms. We may photograph projects for site records, quality assurance and marketing. We take reasonable steps not to publish identifiable personal information without permission or another lawful basis.

8A. Cookies and similar technologies

If enabled on our website, we may use cookies, pixels, tags, local storage and similar technologies to make the website work, remember preferences, understand visitor traffic, measure website performance and assess the effectiveness of advertising. These technologies may collect information such as IP address, device and browser type, pages viewed, referring website and approximate location derived from technical data. Some tools may be provided by third parties, such as website hosting, analytics or advertising providers, which may receive information through their technologies. You can usually manage or block cookies through your browser settings; doing so may affect some website functions. Where consent is required by applicable law, we will seek it before using relevant non-essential technologies. The technologies actually used by RYBO should be confirmed before this policy is published.

8B. Google Ads and advertising technologies

RYBO may use Google Ads and associated tools, such as Google tags, conversion tracking and remarketing, to promote our services and understand whether advertisements lead to website enquiries or other actions. Where these features are enabled, Google and its partners may use cookies or similar identifiers to collect or receive information about visits to our website, interactions with advertisements, browser and device information, and conversion events. This information may be used to measure advertising performance, limit repeated ads and, where remarketing or personalised advertising is enabled, display relevant RYBO advertisements on Google services or participating third-party websites. RYBO may also use Google Ads Customer Match where lawfully permitted; if used, relevant customer contact details may be securely shared with Google for audience matching in accordance with applicable requirements. Google processes information under its own policies. Visitors can manage ad personalisation at https://myadcenter.google.com/ and learn about Google's use of information from sites using its services at https://policies.google.com/technologies/partner-sites. Browser settings may also allow cookies to be blocked or deleted. The specific Google Ads features used by RYBO should be verified before publication.

8C. Direct marketing and how to opt out

RYBO may send promotional emails, text messages or other marketing communications about our roofing, plumbing and cladding services where permitted by law. You can opt out at any time by selecting the unsubscribe link in a marketing email, replying STOP to a marketing SMS where that option is provided, or contacting RYBO Management using the details in section 13 and asking to be removed from marketing communications. We will process opt-out requests as soon as practicable and in accordance with applicable law. Opting out of marketing does not prevent us from sending essential service, project, contractual or legally required communications.

8D. How to opt out of cookies and personalised ads

You can manage or delete cookies through your browser's privacy settings. To control personalised Google advertising, visit https://myadcenter.google.com/ and adjust your ad preferences. You may also use Google's Ads Settings and available browser or device privacy controls to restrict ad personalisation or tracking. These steps may not stop all advertising, and some essential website technologies may still operate. To ask RYBO about its marketing use of your personal information, or to request that we stop using your contact details for direct marketing, contact RYBO Management using section 13.

9. Access and corrections

You may contact us to request access to personal information we hold about you or to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may verify your identity and may refuse a request where the law permits; if so, we will explain the reason where required.

10. Privacy Complaints and Resolution

If you believe RYBO has mishandled your personal information, you may lodge a privacy complaint by contacting RYBO Management using the details in Section 13. Please explain what happened, the personal information involved and the outcome you are seeking. Do not include sensitive information unless it is necessary to explain your complaint. RYBO will acknowledge and assess your complaint, may contact you for further details, investigate relevant records and practices, and provide a response outlining its findings and any proposed corrective action. We aim to respond within 30 calendar days; if more time is required, we will explain the reason and provide an update. Complaints will be handled confidentially as far as practicable and without retaliation. If you are dissatisfied with our response, or do not receive a response within a reasonable time, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992. The OAIC generally expects you to complain to RYBO first and allow it time to respond.

11. Data breaches

We assess suspected data breaches, take steps to contain and remediate incidents, and notify affected individuals and the OAIC where required by the Notifiable Data Breaches scheme.

12. Policy updates

We may revise this policy to reflect our practices or legal obligations. The current version will be available from our office or website.

Terms & Conditions

By accepting a quotation, approving works or engaging RYBO Roofing to undertake work, the customer agrees to these Terms and Conditions together with the applicable quotation, scope of works and any other written agreement between the parties.

Nothing in these Terms and Conditions excludes, restricts or modifies any right or guarantee that cannot lawfully be excluded under the Australian Consumer Law, Domestic Building Contracts Act 1995 (Vic), or other applicable legislation.

1. Quotations

All quotations are based on the information available to RYBO Roofing at the time of quoting, including information supplied by the customer and conditions reasonably visible during any site inspection.

Unless otherwise stated, quotations are valid for 30 days from the date of issue.

A quotation only includes the works specifically described in the written scope of works.

Any work not expressly included in the quotation is excluded and may be quoted or charged separately where permitted by law.

Acceptance of a quotation is subject to scheduling, material availability and any required deposits, permits, approvals or access arrangements.

2. Roof Repairs

Roof repairs are undertaken to address the defects or areas identified in the accepted scope of works.

Due to the nature of existing roofing systems, RYBO Roofing cannot guarantee that repairing one identified defect will resolve every existing or future leak unless expressly stated in writing.

Water may enter a roofing system at one location and present internally at another location.

Additional defects may become apparent after initial repairs or following subsequent rainfall.

If further defects or repair requirements are identified, RYBO Roofing will advise the customer and, where required, provide a quotation or variation for additional works.

Existing deterioration, corrosion, failed membranes, flashings, sealants, penetrations, structural movement or previous workmanship outside the agreed scope are not included unless specifically stated.

3. Re-Roofing Works

Re-roofing works include only the materials and activities specifically identified in the accepted quotation and scope of works.

Unless expressly included, the quotation does not include rectification or replacement of existing structural framing, rotten timber, damaged battens, asbestos, electrical services, mechanical services, plumbing outside the quoted scope, ceilings, insulation, fascia, gutters, downpipes or other concealed components.

Where existing roofing is removed and previously concealed defects or non-compliant conditions are discovered, RYBO Roofing will notify the customer.

Additional rectification works may constitute a variation and incur additional costs where permitted by law.

4. Existing and Concealed Conditions

RYBO Roofing is not responsible for defects or conditions that could not reasonably have been identified before works commenced.

Examples include:

Where such conditions affect the safe or compliant completion of the works, RYBO Roofing may suspend the affected work until an appropriate solution is agreed.

5. Variations and Additional Works

Any work requested or required outside the accepted scope may be treated as a variation.

Where required by applicable law, variations will be documented and approved before the additional work is undertaken, except where urgent work is reasonably necessary to protect the property, make the site safe or deal with circumstances permitted by law.

Variations may affect the contract price and completion timeframe.

6. Site Access

The customer must provide RYBO Roofing with safe and reasonable access to the property during the agreed working period.

This includes access for:

The customer must advise RYBO Roofing of any known hazards, restricted areas, underground or concealed services, pets, access requirements or site-specific rules before work commences.

Delays resulting from inadequate or unavailable access may affect the commencement or completion date.

7. Weather and Site Safety

Roofing work is weather dependent.

RYBO Roofing may delay, suspend or reschedule works where weather or site conditions make the work unsafe, unsuitable or likely to compromise workmanship or the property.

This may include:

Safety takes priority over advertised or estimated commencement and completion times.

8. Materials and Product Availability

Specified products, profiles, colours and materials are subject to manufacturer and supplier availability.

Where a specified product becomes unavailable or is subject to significant supply delays, RYBO Roofing will discuss suitable alternatives or revised scheduling with the customer.

Minor variations in colour, finish, texture or appearance may occur between manufacturing batches and existing materials.

Manufacturer warranties remain subject to the relevant manufacturer’s warranty terms and conditions.

9. Deposits and Payments

Deposits, progress payments and final payments will be specified in the quotation or applicable contract and will comply with applicable legislation.

Invoices must be paid by the due date shown on the invoice.

RYBO Roofing reserves its rights in relation to overdue accounts, including any rights available under the applicable contract or legislation.

For domestic building work, any statutory restrictions applying to deposits, progress payments or insurance requirements will take precedence over these Terms and Conditions.

10. Completion

Estimated commencement and completion dates are provided in good faith but may be affected by weather, material availability, variations, access restrictions, approvals, site conditions and other matters outside RYBO Roofing’s reasonable control.

The customer must provide reasonable access to allow RYBO Roofing to complete outstanding works and rectify any legitimate defects.

Minor outstanding items that do not materially prevent use of the completed roofing system will be dealt with as reasonably practicable.

11. Workmanship and Warranties

RYBO Roofing will carry out its work with reasonable care and skill and in accordance with applicable legal requirements.

Applicable statutory warranties and Australian Consumer Law consumer guarantees continue to apply and are not excluded by these Terms and Conditions.

Any additional manufacturer or product warranty is subject to the manufacturer’s own terms, conditions and exclusions.

Warranty claims relating to RYBO Roofing’s workmanship must be reported to RYBO Roofing within a reasonable period after the issue becomes apparent and RYBO Roofing must be provided reasonable access to inspect the alleged defect.

12. Existing Roofs and Previous Work

RYBO Roofing is not responsible for defects arising from parts of the building or roofing system that are outside its agreed scope of works.

This may include:

Where reasonably possible, RYBO Roofing will advise the customer if significant unrelated defects are observed during the works.

13. Water Testing and Leak Investigation

Where water testing or leak investigation is undertaken, it is intended to assist in identifying likely water-entry points.

Because water can travel through roof cavities and building elements, a single test may not identify every source of water entry.

Further investigation or repair work may be required and may incur additional charges where it falls outside the original scope.

14. Asbestos and Hazardous Materials

Unless specifically included in writing, quotations do not include the identification, testing, removal or disposal of asbestos or other hazardous materials.

If suspected hazardous materials are identified, RYBO Roofing may stop the affected works until the material has been assessed and, where necessary, safely removed by an appropriately qualified or licensed contractor.

Any resulting delay will not count toward promotional commencement guarantees.

15. Customer Property

Customers should remove or protect fragile or valuable items that may reasonably be affected by roofing works.

Roofing work can cause normal construction-related vibration, noise and dust.

RYBO Roofing will take reasonable care while carrying out the works but is not responsible for pre-existing defects or damage caused by underlying conditions that could not reasonably have been identified before commencing work.

Nothing in this clause limits liability that cannot lawfully be excluded.

16. Photographs and Documentation

RYBO Roofing may take photographs or video of the roof, work areas and completed works for project documentation, quality assurance and record-keeping.

RYBO Roofing will obtain appropriate permission before using images that identify a customer or otherwise require consent for marketing purposes.

17. 24 Business Hours On Site or $500 Off Promotion

Where specifically advertised and confirmed as applying to a booking, RYBO Roofing offers eligible customers:

“On site within 24 business hours or $500 off your bill.”

For the purpose of this promotion, 24 hours means 24 business hours occurring Monday to Friday only.

Saturdays, Sundays and Victorian public holidays are excluded.

The 24-business-hour period begins only once:

The guarantee relates to RYBO Roofing attending the property and commencing the agreed works, not completing the entire job within 24 business hours.

The guarantee does not apply where attendance or commencement is prevented or delayed by circumstances outside RYBO Roofing’s reasonable control, including:

If an eligible job satisfies all promotional conditions and RYBO Roofing fails to attend and commence the agreed works within 24 business hours, $500 will be deducted from the final invoice.

The promotion is limited to one $500 discount per eligible job.

The discount is not redeemable for cash, cannot result in a credit balance and cannot be combined with another promotional discount unless RYBO Roofing agrees otherwise in writing.

18. Promotion Eligibility

The 24-business-hour promotion applies only to jobs specifically identified by RYBO Roofing as eligible.

Certain projects may be excluded due to their size, location, complexity, access requirements, material requirements or other operational considerations.

Submission of an online enquiry does not automatically qualify a customer for the promotion.

Eligibility will be confirmed by RYBO Roofing.

19. Online Enquiries

Submitting an enquiry through the RYBO Roofing website does not create a contract or guarantee acceptance of the work.

Any pricing displayed or referred to online is indicative unless expressly stated otherwise.

A binding scope and price will be established through the applicable quotation or contract.

20. Cancellations and Rescheduling

Cancellation or rescheduling of accepted works will be dealt with in accordance with the applicable quotation, contract and Australian law.

Where RYBO Roofing has reasonably incurred non-recoverable costs for customer-specific materials or other approved expenditure, those costs may be payable by the customer to the extent permitted by law.

Any statutory cooling-off rights continue to apply.

21. Compliance and Applicable Standards

RYBO Roofing will carry out plumbing and roofing work in accordance with applicable laws, regulations and mandatory standards relevant to the contracted work.

Where required, applicable compliance documentation will be provided following completion of the relevant work and satisfaction of applicable requirements.

22. Australian Consumer Law

Nothing in these Terms and Conditions is intended to exclude, restrict or modify any consumer guarantee, warranty, right or remedy that cannot legally be excluded or restricted under the Australian Consumer Law or other applicable legislation.

Where a provision of these Terms and Conditions conflicts with a mandatory legal requirement, the mandatory legal requirement prevails.

23. Governing Law

These Terms and Conditions are governed by the laws of Victoria, Australia.
